Meaning in graphics work
A retention period is the defined time or condition for keeping particular records for their justified purposes. It should relate to actual obligations, usefulness and permitted processing.
It differs from keeping everything indefinitely or deleting every record immediately after a task ends. Different record types and purposes can need different treatment.
Example and practical consequence
An organisation may need an accepted job snapshot longer than a temporary proof-sharing token. An identifiable event contact collected for access coordination needs a relevant retention decision rather than automatic permanent marketing storage.
Identify the record category, purpose, basis and review or deletion condition using current applicable guidance. Consider lawful obligations and useful continuity without inventing a universal fixed period. Document what deletion, de-identification or restricted archival access means so a policy can be applied to actual data rather than remain an undifferentiated promise.
