Release the correct file

Release the file that matches the accepted specification and current approval record.

The skill and its purpose

Production release connects the accepted requirement to an exact file. A folder’s newest modification date or a familiar filename does not establish that connection. The release record should identify the production bytes, applicable approval scope, site or variant allocation and unresolved conditions. It also needs to make superseded files unmistakable so an old proof cannot become an accidental production instruction.

Work through the decision

Compare the current specification, accepted proof and exported production file. Record any difference and obtain the required review. Prepare a manifest with exact version references or fingerprints and the quantities each file serves. Identify the release authority and recipient. Retain a copy of the released package, then treat a subsequent change as a new version or variation rather than silently editing the earlier instruction.

Practical exercise — fictional

A fictional campaign folder contains approved proof-v4.pdf and production-final.pdf. Their filenames do not show whether they contain the same content. Draft the release manifest, compare the references and identify the confirmation needed if the production export adds a panel join. Do not describe the output as released while that affected decision remains open.

Take it to the next job

  • Reconcile specification, proof and output.
  • Record exact production version and allocation.
  • Resolve conditions affecting release.
  • Preserve the issued manifest and package.
