Identify the commercial relationships
Print brokers and resellers should make the actual relationship clear before requesting or accepting work. Record the buyer, coordinator and fulfilment provider, with the responsibilities each has actually agreed. A shared trade name or platform dashboard does not make every participant one legal supplier. Terms such as broker, reseller or agent can have consequential meanings in a specific agreement, so obtain appropriate advice where needed rather than letting a worksheet invent authority or liability.
Keep the requirement stable across responses
Prepare one controlled requirement revision with final dimensions, quantities, materials, finishing, artwork and delivery needs. Share it only with providers the buyer or authorised coordinator deliberately selects. Keep substitutions and exclusions explicit so responses can be compared fairly. Missing prices and services remain unknown; they should not become zero or included by assumption. Preserve the source quotation and exact provider entity instead of turning an unattributed total into the only commercial record.
Separate information rights
A coordinator may need to compare competing responses privately while a fulfilment provider needs only its accepted package. Do not circulate competitors' prices, another bidder's credentials or unrelated client artwork. Financial field visibility should be deliberate and tied to the recipient's authorised role. A CSV export has no tenant enforcement, so remove excluded fields before sharing it and use the commissioned identity system for actual collaboration. Preserve a buyer's established supplier relationship rather than silently redirecting the enquiry.
Manage interfaces and changes
Record who supplies artwork, confirms technical settings, packs items, arranges transport, installs and handles returns. Bind exact artwork and specification versions into the chosen provider's handover. If a downstream provider proposes a different material or date, show the consequences and seek the appropriate parties' agreement. A coordinator's internal approval cannot manufacture a supplier commitment. Keep old accepted scope retrievable and use attributable variations rather than silently overwriting a commercial promise when the campaign changes.
Fictional split package
In a fictional campaign, a coordinator sources panel production from one provider and installation from another. The first response excludes fixings, while the second assumes they will be supplied with the graphics. The coordinator records the interface gap and obtains a named fixing owner before preparing the final handover. The observed result is a clarified responsibility and open confirmation gate. It does not describe a real brokerage agreement, collected commission, accepted price or successful installation.
Leave an independently usable history
Retain original quotations, selected-provider acceptance, variations, manifests and observed outcomes within their permitted scopes. If a coordinator or supplier leaves, review continuing obligations under the actual agreements and export the buyer's permitted records. Revoke access through the real system while preserving legitimate continuity. Public case narratives need actual outcomes and separate permissions, with private commercial fields removed. A useful record should explain who accepted what and which version was fulfilled without depending on a promotional platform claim.
Take it to the next job
- Name the buyer, coordinator and actual fulfilment legal entities.
- Normalise requirement versions, substitutions and exclusions.
- Restrict competitor quotes and unrelated client records.
- Preserve agreed interfaces, attributable variations and buyer portability.
