What this worksheet records
A publication approval record should describe the exact content version and evidence behind its claims. Separate original explanation from quoted or reproduced source material. Check media rights and any client or provider permission before using a project story, image or logo. A fictional example must remain visibly fictional and cannot be turned into a customer testimonial. Retain the claim's application, geography, period and other limits instead of replacing them with a broad promotional assertion.
Complete and review it
Ask the appropriate editor to review factual support, rights and confidential-field removal. If commercial interests affect the context, disclose the relevant relationship accurately. An internal draft and an approved publication remain different states; the worksheet alone does not publish either. Preserve the decision and a correction route so a later source change or permission withdrawal can be handled. Where a claim needs unavailable specialist evidence, keep it unresolved rather than recording approval to satisfy a launch target.
Field definitions
- publication_id: A stable identifier for this publication, used to connect related rows without merging unrelated records.
- content_title: The actual content title relevant to this row’s declared purpose. Record the source or unresolved question where it is not confirmed.
- content_version: The exact content version used for this row; retain earlier versions and revisit affected decisions after a change.
- author: The actual author relevant to this row’s declared purpose. Record the source or unresolved question where it is not confirmed.
- primary_brand: The actual primary brand relevant to this row’s declared purpose. Record the source or unresolved question where it is not confirmed.
- source_claim: The precise statement the content relies on, with scope and supporting source retained.
- source_reference: The actual attributable source for source reference; a reference is not evidence that a decision was authenticated or its content verified.
- claim_scope: Product, assembly, application, geography, period and other limits actually supported by the evidence.
- media_rights_reference: Permitted evidence of rights for the exact image, text or other media and intended use.
- client_permission: The client’s actual permission scope for the proposed content or disclosure, not a copied demo decision.
- confidential_field_check: The actual confidential field check relevant to this row’s declared purpose. Record the source or unresolved question where it is not confirmed.
- reviewer: The named person or agreed role responsible for reviewer; confirm its real scope rather than assuming authority from a typed name.
- decision_date: The actual decision date, with date format or period meaning explicit; distinguish requested, planned, confirmed and observed values.
- publication_state: The actual editorial state for this exact version, distinct from permission to publish or a live release.
- correction_route: The actual correction route relevant to this row’s declared purpose. Record the source or unresolved question where it is not confirmed.
Prepare a deliberate export
Editorial records may contain private permission agreements and unpublished information. Export a limited review package, with evidence shared only where permitted. A local decision row does not authenticate approval or authorise external publication by itself.
Take it to the next job
- Check exact content version, claim scope and supporting sources.
- Verify media and project permissions before publication.
- Keep fictional examples and unresolved claims honestly labelled.
