What this worksheet records
An event brief needs the exact edition as well as the event's familiar name. Record the organiser's current source and your actual participation state; following an event does not mean a stand is booked. Enter the allocated space or stand reference only when known. List each graphic requirement alongside retained equipment, organiser instructions and the provider's production constraints, keeping those sources separate so a useful suggestion is not mistaken for an official requirement.
Complete and review it
Work backwards from the relevant access or installation date rather than the date the public show opens. Assign an owner to check venue access, artwork, logistics and return arrangements. Where the official requirement and a provider proposal appear to conflict, record the discrepancy and obtain an attributable clarification before releasing work. A revised event plan should preserve accepted supplier commitments while the parties decide whether the new dates and quantities can be accommodated.

- return_plan: The actual return plan relevant to this row’s declared purpose. Record the source or unresolved question where it is not confirmed.
Prepare a deliberate export
A completed event brief may disclose unpublished attendance, staff and equipment plans. Provide each contractor with its relevant package rather than the whole programme. The export is a planning document and neither books a stand nor confirms a provider's availability.
Take it to the next job
- Identify the edition and actual participation state.
- Distinguish access, installation and public opening dates.
- Resolve conflicting instructions with their responsible issuers.
