Inspect returns before making equipment available

Use condition and custody records to turn a returned box into a reliable asset state.

Confirm receipt before readiness

Record when and where the equipment was received and who took custody. Compare returned items with the dispatch manifest. Receipt means the items reached the responsible location; it does not mean they are complete, clean or suitable for the next job. Keep the two decisions separate.

Inspect against the next-use requirements

Check the listed components, visible condition and any necessary tests defined by the responsible team. Photograph damage with permission and describe the issue in plain language. Retire expired graphics from active use. An unresolved critical defect or missing part belongs in an attention or quarantine state until the responsible reviewer accepts the remedy.

Record the actual remedy

Name who will clean, repair, replace or review the item and when a decision is needed. A planned repair is not a completed repair. On completion, record the result and recheck readiness. If the next event is already booked, show the effect of the unresolved condition. This creates a practical return loop instead of a calendar that assumes everything is always available.

Worked example — fictional

A fictional event kit returns on Monday in three labelled cases. The receiving team confirms custody and notes a damaged outer case. During inspection, one frame is complete, a second has a bent component and the campaign graphics contain expired messaging. The complete frame can proceed through the defined readiness check. The damaged frame remains quarantined or attention required under the organisation’s policy, with a named reviewer. The expired graphics are removed from active selection. A repair is planned for Wednesday, but its scheduled date does not automatically change the condition state. After the responsible person confirms the remedy and checks the unit, the record can reflect that actual outcome. The return is therefore one custody event followed by several evidence-based decisions, not one broad completed tick.

Decision checkpoints

  • Receipt: establish which item reached which location and who accepted custody on the recorded date.
  • Reconciliation: compare returned quantities with dispatch references and identify missing or unexpected components.
  • Inspection: record actual condition and the requirements used by the responsible checker.
  • Remedy: name the accepted action and retain evidence of completion before changing readiness.

Common pitfalls

  • A carrier’s delivery record can show arrival without establishing that equipment is complete and safe to use.
  • A scheduled repair can remain unperformed or unsuccessful, so its date is not a condition result.
  • Expired graphics should not be counted as reusable campaign stock merely because the print remains physically intact.

Use it on your next job

Use the return tool and component checklist to record receipt, inspection and action separately. Keep photos scoped to useful condition evidence. Assign unresolved issues to responsible people and show effects on planned bookings. After remedies, record the actual recheck and update the asset register so the next campaign starts with current facts.
