Prepare an outdoor graphic brief with exposure conditions

Describe outdoor exposure as factual context for the responsible material and installation decisions.

Describe the actual position

Record where the graphic will be used, its orientation, dimensions, planned duration and intended audience. Identify whether it is attached to a building, retained frame, temporary structure or another actual support. Collect observed exposure information with its source and date rather than assuming every outdoor location has the same conditions. A photograph can assist context but cannot establish all construction or environmental inputs needed for responsible acceptance.

Separate known exposure and unresolved questions

Record relevant rain, sunlight, wind, cleaning, contamination or contact conditions where actually known. Ask the site owner and selected provider what further information they need for this application. Do not invent loads, durability values or weather limits. Mark estimates and unavailable facts explicitly. The campaign brief’s role is to organise the information and owners, while the responsible competent team assesses the actual material, fixing and site requirements.

Specify the complete proposal

Ask the provider to name the exact substrate, print, protective finish, attachment and relevant maintenance guidance. A generic outdoor description is not acceptance of the finished assembly at the surveyed location. Record the provider’s scope and any review conditions. If the graphic or supporting structure changes, identify which accepted decisions need reconsideration. HSE guidance covers relevant site and event planning topics, but a browser tool does not certify physical safety.

Worked example — fictional

A fictional venue proposes a panel near its public entrance. The survey records the position, measured geometry and known cleaning schedule, while supporting-wall information remains unanswered. The selected provider requests further site details and proposes an exact construction. The brief keeps installation acceptance conditional until the responsible review is complete. When the venue moves the position, the exposure and access questions are rechecked. The original outdoor label is not treated as a universal promise that the same panel and fixing arrangement suit both locations.

Common pitfalls

A stated material life can have conditions that do not match the actual printed assembly or site. Weather observations from one day do not establish every future condition. A lightweight panel still needs its actual fixing and handling review. Do not allow an approaching campaign date to turn unknown exposure or supporting details into assumed acceptable values. Keep relevant site permissions as separate tasks with their responsible owners.

Create a condition-aware brief

Use the brief tool to record location, complete construction, observed facts and provider questions. Export relevant site information and ask the responsible parties to accept actual requirements. Confirm maintenance, removal and contingency responsibilities before installation. Retain the as-installed record and later observations so another replacement enquiry can use dated facts about this specific position rather than copy a broad outdoor designation from an old catalogue.

Decision checkpoint

Ask whether the proposed exposure statement describes the base product, printed assembly or accepted installation. Keep those boundaries distinct. A supplier sheet can inform the choice without replacing the responsible review of a complete graphic at its actual site and intended duration.

Take this to the next job

  • Record actual position and duration
  • Separate observed and unknown exposure
  • Specify complete assembly
  • Obtain responsible site and fixing review
  • Retain maintenance and as-installed facts
Put it to work. Use the connected free tool to prepare your own record. Final production requirements come from your chosen provider.
