Prepare a timber display specification with traceable inputs

Specify timber components with product identity, intended use and traceable declared inputs.

Describe the component and application

Record the timber or wood-based product proposed, exact grade or variant where known, dimensions, finish and role in the display. Identify whether it is a retained structural component, decorative surface or replaceable panel. Include exposure, handling and expected maintenance requirements. Do not treat all timber products as interchangeable or infer suitability from a broad natural-material description. Ask the selected provider to confirm the construction they intend to supply.

Collect relevant traceability

Record supplier, product reference, document date and any declared sourcing or certification scope. Use the issuing body’s actual lookup or document where applicable, and distinguish certification of a business or chain from the status of the exact supplied item. A badge on a website does not answer every product question. Preserve invoice or delivery references where they provide permitted traceability, keeping private commercial information outside public evidence pages.

Include assembly additions and decisions

Describe coatings, adhesives, prints, fasteners and other relevant materials separately. A sourcing statement about timber does not establish the environmental or application properties of the entire finished display. Ask the responsible reviewer to accept physical requirements and the selected provider to confirm finishing. If refurbishment will retain some components, identify them by reference and record their actual condition. Proposed reuse remains distinct from a completed and inspected result.

Worked example — fictional

A fictional museum programme proposes a timber display panel with a printed face and protective finish. The supplier provides a sourcing document, but its scope does not yet identify the exact proposed grade. The coordinator asks for the missing product relationship and records the added coating separately. The museum’s responsible team reviews the application requirements, while the evidence register retains issuer and date. The final specification names the accepted complete construction. No general claim that the whole display is certified, carbon-neutral or universally recyclable is inferred from the timber source alone.

Common pitfalls

A material’s renewable origin does not establish the whole campaign’s life-cycle impact. A current certificate can still cover a different entity, site or product scope. Changing a finish can affect appearance, maintenance and recovery questions even when the timber reference stays the same. Keep supplier claims attributable and avoid publishing an endorsement that goes beyond actual evidence or permission.

Make the traceable record portable

Use the evidence tool to connect exact product, supplier documents, scope and accepted application. Export the relevant references with the material specification and retain unresolved questions. When a substitution is proposed, repeat the affected checks rather than carrying forward an unrelated badge. Record actual supplied components after delivery so the next maintenance or reuse enquiry begins with traceable information. If a supplied document covers several timber grades, record the exact selected row or scope reference so another reviewer can locate the same evidence without inferring the product relationship.

Take this to the next job

  • Name exact timber component
  • Record intended application
  • Check product and evidence scope
  • List finishing and added materials
  • Preserve actual supply references
Put it to work. Use the connected free tool to prepare your own record. Final production requirements come from your chosen provider.
