Organise recruitment-event displays across departments

Coordinate recruitment-event graphics across departments using one programme matrix and separate content owners.

Define the shared event purpose

Record the event edition or internal programme reference, audience, dates and the visitor actions the graphics should support. Identify common messages such as registration, programme discovery and departmental locations. A recruitment event can involve many content contributors while still needing one coordinated visitor journey. Name the central programme owner and the people authorised to confirm departmental facts. Do not make the designer infer the approved offer or building vocabulary from competing email attachments.

Collect department-specific requirements

Give each department, site or activity a reference and list measured positions, quantities, existing display equipment and language needs. Keep missing measurements assigned rather than filling them with another department’s values. Identify which local fields may vary within the central template. Department staff may confirm course or role information without having authority over central brand, technical installation or external spend. Record those decision scopes explicitly in the responsibility map.

Build a controlled production programme

Connect each requirement to current content, template, proof and selected provider scope. Reconcile shared and local quantities before release. Plan access, deliveries and installation against actual site arrangements, not only the event opening date. A saved department request remains a draft until its relevant facts and approvals are complete. Keep each location’s outstanding condition visible so one approved department does not release every other department’s unreviewed graphic.

Worked example — fictional

A fictional college open day has three departments using retained displays and a central reception sign. Two departments confirm their current programme names, while one still needs approved wording. Its artwork remains pending without preventing reviewed reception work from being identified separately. A shared building name conflict is resolved by the programme content owner. The site matrix names each proof and kit reference. Actual event use and equipment returns are recorded later, rather than presented as completed work simply because the departmental plan was collected.

Common pitfalls

An old course or recruitment message can survive inside a reused artwork file. Departmental dates may differ from the central event schedule. A familiar display can be missing parts or reserved for another activity. A large recipient list is not a responsibility map. Do not publish participant photographs, applicant information or departmental private files as programme marketing without actual permission.

Prepare a department-ready handover

Use the site matrix and brief to record requirements, owners, approved wording and exact output references. Export relevant subsets for each department, installer or chosen provider. Confirm responsibilities for picking, installation and return. Retain actual outcome and condition records after the event. The next recruitment programme can reuse the coordination structure with current dates and content instead of recreating every request through an uncontrolled email chain.

Decision checkpoint

Ask whether a departmental answer confirms a local fact or authorises a wider change. A programme name correction belongs to its content owner, while a changed display size can also need provider and site acceptance. Route each affected scope rather than treating departmental sign-off as universal release.

Take this to the next job

  • Name central and local content owners
  • Collect site-specific facts
  • Control shared and local variants
  • Review each actual proof
