Build a pick list from components, not a product nickname

A display kit is ready only when the required parts and instructions are present.

Describe the required configuration

List the frame units, feet, connectors, graphics, cases, tools and instructions needed for the intended build. Use quantities and stable references. Avoid shorthand such as “the usual stand” when there are several sizes or revisions. Keep optional accessories distinct from components essential to completion.

Check before dispatch

Record picked quantities, condition and the person completing the check. A missing essential connector should stop a ready status. Label the cases so the site team can connect a box to its contents and configuration. Where a component is substituted, confirm compatibility and update the list rather than hiding the difference in a note.

Use the same list on return

Provide the return team with the component record and packing instructions. Confirm what came back, then identify missing or damaged parts for follow-up. A fictional kit with two feet and one crossbar can leave correctly and return with one foot missing; the inventory should reflect that actual state. Export the checklist for use on site when connectivity is limited.

Worked example — fictional

A fictional portable display requires one frame, two feet, four connectors, one printed graphic, one case and the current assembly instructions. The picker confirms the frame and graphic but finds only three connectors. The kit remains incomplete and attention required; the missing connector is not treated as a minor note under a ready label. Once the correct part is obtained and checked, the dispatch manifest records the complete configuration. On return, both feet are present but one is visibly damaged. Receipt of all counted components therefore does not establish readiness. The return team records the damaged reference and assigns review. These steps make a pick list useful to people assembling the stand, rather than a document that merely repeats a commercial product name.

Decision checkpoints

  • Configuration: list quantities of the actual essential and optional components required for the selected build.
  • Picking: compare observed parts with the requirement and record missing or substituted components explicitly.
  • Dispatch: include labels, current instructions and the responsible checker’s confirmation of the accepted kit.
  • Return: reconcile each component’s quantity and condition before restoring a usable availability state.

Common pitfalls

  • Counting cases can hide incomplete systems; reconcile the contents rather than only the outer boxes.
  • A substitute part that looks plausible still needs appropriate compatibility confirmation for the intended equipment.
  • A returned component can be present and damaged, so quantity and condition must stay separate.

Use it on your next job

Download the pick-and-return template and enter a real configuration from your equipment instructions. Check each essential component while picking and label the cases against the manifest. Give the same list to the returning team. Resolve discrepancies through the responsible person and retain the actual result before assigning the unit a ready status.

Take this to the next job

  • List the actual configuration
  • Identify essential parts
  • Check condition while picking
  • Label cases and contents
  • Reconcile parts on return
